GUIDELINES
BY CORE COMMITTEE
FOR SAMPREETI DRAMA FESTIVAL

a. Sampreeti – the Inter club (short) drama festival should be held in each year, during 3rd/4th week of February, where presently eight clubs of Kolkata are involved.

  1. The Calcutta Club Ltd.
  2. The Lake Club Ltd.
  3. Outram Club
  4. Calcutta Rowing Club
  5. International Club
  6. Dalhousie Institute
  7. Indian Life Saving Society
  8. Dakshin Kolikata Sangsad

 

b. The Sampreeti Year is the Year from the end of any Sampreeti festival to the end of the next Sampreeti festival.

c. The Host club in any Sampreeti year should be selected as per the order originally held in the first Sampreeti, however in case of any unavoidable circumstances, if required, that order may be altered in an Organising Committee meeting, with mutual understanding.

d. Core-committee is the parent body formed by the founder members and other members nominated by the Core-committee and approved by their club.

e. The Organising Committee means the body formed with the Core Committee along with the nominated representative/s of each participating club, in each Sampreeti Year.

f. The Technical committee is a committee formed by the Core-committee in each Sampreeti year, with representative/s of core-committee along with members nominated by them; to maintain the co-ordination between the technicians and the clubs.

g. Task force – to be formed by the Host club, from its members, along with volunteers nominated by each Sampreeti clubs, chaired by an ex-officio member from the core- committee.

h. The participating clubs means the clubs who are taking part in a given Sampreeti year.

i. The language of the play for this festival shall be Bengali only.

j. The S.O.P for distribution of cards shall be in the following manner –

  1. 25 % of the total accommodation to be given to two participating clubs on the day of their performance.
  2. 8% of the total accommodation to be given to six other participating clubs.
  3. 2 % of the total accommodation to be kept with host club for Presidents and special guests.
  4. Cards to be given to Core committee members for all four days.
  5. No cost to be charged for the cards.

PARTICIPATION

1. All enlisted Sampreeti clubs should join this festival.

2. Member of a club, his/her spouse, their son/s & daughter/s, son and daughter-in-law/s, their grandchildren are entitled to join as an actor/actress in the drama. In no case a non- member is allowed to participate in the drama, as an actor/ actress.

3. Director must be a member/ or his/her spouse, of the participating club and in no case a non- member is allowed to direct the drama.

4. Maximum numbers of participants/actors in a drama should not exceed 15 (Fifteen), excluding the Director.

5. Director/Actor representing one particular club can not represent another club in the same Sampreeti year, as director/ actor.

6. Any new club/s interested to join this festival, must approach to the Core-committee in writing and may join at the sole discretion of the Core-committee.

THE PLAY

1. On each day there will be two short Bengali plays, having a maximum duration of 55 (fifty-five) minutes each, with an interval of 30 (thirty) minutes.

2. Slot of the plays to be decided by lottery in an Organising Committee meeting, in presence of all clubs, however the host club may select their slot as per their own choice.

3. To maintain a balanced audience, the lottery should be done in the following manner – It was observed in the past years, that the nos. of audience are high on the days where the following clubs (1. Calcutta Club, 2. Lake club, 3. ILSS, and 4. Outram Club) are performing. To maintain a balanced flow, the lottery for slots must be done in the following manner-

  1. First round to be done amongst the above mentioned four clubs* for four days.
  2. Second round to be done amongst the balance four clubs* for four days. (* Excluding the host club.)
  3. Stage rehearsal slots should be same as per the slots decided in the lottery; however, the clubs may mutually exchange the slots with prior intimation to the Host club and the technical committee, well in advance.

4. Stage rehearsal time allotted per club/ slot should not exceed 105 minutes (1 Hr 45 minutes) with a technical interval of 30 (thirty) minutes in between. Exact time of show and stage rehearsals to be intimated in due time by the Host club.

5. If in any case the time of the play/ stage rehearsal is exceeded by any club, and if for the same the hall authority charges any extra amount, the additional amount is to be paid by the concerned club/s on a pro-rata basis, over and above of the contribution already paid.

6. Repeating the same drama in a single Sampreeti year is not allowed. The same maybe repeated only after completion of a full circle (a period of eight years).

7. All participating clubs shall finalise their play/drama and director within the date, (which should be latest by end of November, prior to the technicians' meet) as finalised in the Organising Committee meeting.

8. Any change of the play / director (declared earlier) must be intimated to the Host club and in the WhatsApp group, well in advance.

FUND

1. All participating clubs will share an equal amount as contribution (Amount being finalised in the Organising Committee meeting) for the festival and the same to be paid to the Host club.

2. The contribution for the festival, by each participating clubs will cover the following expenditure.

  1. Cost of venue (Hall) for show and stage rehearsals.
  2. Cost of light for show and stage rehearsals.
  3. Cost of set, furniture, dress, makeup & stage props for show and stage rehearsals.
  4. Cost of printing (cards, posters, standee, etc.) for show and stage rehearsals.
  5. Cost of sound system as provided by the Hall, for show and stage rehearsals.
  6. Cost of photography & videography for show.
  7. Cost of water, tea for participants and technicians at show and stage rehearsals.
  8. Cost of tiffin for technicians for show and stage rehearsals.

3. The contribution will not cover the following

  1. Cost for music, which shall be borne by each club.
  2. Cost for any additional/ special light, not included in the package, which shall be borne by respective club.
  3. Cost for additional/ special sound system (lapel microphone etc.) not included in the package, which shall be borne by respective club.
  4. Cost for food packets to the participants, which shall be borne by respective club.
  5. Cost for any special items related with sets, set props etc. not included in the package, which shall be borne by respective club.
  6. The expenditure of Cast party, which shall be borne by the Host club.

4. The contribution amount to be finalised, each year, by the Organising Committee, depending on the expenditure of the previous year and increase in technical price (if any) and to be deposited to the Host club, within the day as stipulated.

5. In case of any deficit, the same shall be shared equally, by all clubs.

6. In case of any surplus, the same, as decided by the Organising Committee, may either be returned equally to all clubs or may be forwarded in the account of the next Host club.

7. Any special requirement/s (in the opinion of the Technical committee) in relation with set, light, dress, make-up, props, sound system etc. which is not covered in the price package of the technicians, the concerned club should bear the additional expenses for that/ those special item/s, in addition to their contribution and the same to be intimated (through technical committee) to the Organising Committee, prior to the show, both by concerned club and technicians.

8. If any club arrange for their own/ additional technician/s (for set, light, dress, makeup, projection etc.) the cost for the same shall be borne by the respective club/s, over and above of the contribution amount.

MEETINGS

1. In a single Sampreeti year, there should be at least 6 meetings, hosted by different participating clubs, by rotation; which also shall include Directors' meet & technicians' meet, in the following order.

  1. 1st meeting – preferably to be held by end of August/ early September, to be organised by the Host club, where -
    1. The Host club of previous year should submit their accounts for approval of Organising Committee, to assess the plan and the budget for the incoming festival.
    2. To finalise the dates and the venue for the festival.
    3. To finalise the contribution amount for each club.
    4. To finalise the vendors/ technicians for the incoming festival.
    5. To organise the lottery for finalising the slots.
    6. To request all participating clubs for finalising their director and the play.
    7. To finalise the date and host for the 2nd meeting.
  2. The 2nd meeting - preferably to be held by end of October/ early November, where –
    1. To finalise the names of the plays and respective directors of each club.
    2. To discuss the progress of the festival arrangements.
    3. Request all other participating clubs to intimate the names of task force members.
    4. Any other matter.
    5. To finalise the dates and hosts for the next two meetings.
  3. The 3rd meeting - preferably to be held by end of November / early December, with technical committee members & Core Committee members along with technicians & host club members, where -
    1. Vendors to be intimated about the plays, date and detailed schedule of shows and rehearsals.
    2. Negotiations with vendors to be completed and asking the vendors for their formal offers (prior to the next general meeting).
  4. The 4th meeting - preferably to be held by mid-December, where-
    1. Revisions of budget (if any) to be finalised.
    2. Finalising the names of all drama and directors including any change.
    3. To discuss the progress of the festival arrangements.
    4. Finalising the layout of cards, posters etc. with probable date for distribution.
    5. Finalising the task force and duty chart under the concurrence of Core- committee.
    6. Any other matter.
    7. To finalise the dates and host clubs for the Directors' meet and the concluding meeting.
  5. The 5th meeting - preferably to be held by mid-January where, technical committee, technical vendors, Core committee members, directors of each club along with Host club members should be present to finalise-
    1. The detail technical requirements of each play by each director. *Clubs/Directors must submit 2 sets of hard copies for Technical committee & vendors.
    2. To assess the special requirements (in the opinion of technical vendors and the technical committee) which cannot be covered within the price package offered by the vendors.
    3. To hand over the copy of standard `performance note' to each director.
  6. The final meeting - preferably to be held by early February, to be organised by the host club of next year, where-
    1. Cards, standee, posters etc. shall be distributed to the participating clubs.
    2. To finalise the details of the inaugural program in concurrence with the Core Committee.
    3. To finalise all other details (if any).
    4. To intimate about the duty chart of task force members of respective clubs.
    5. Any other matter.

DUTIES OF TECHNICAL COMMITTEE

1. To negotiate the price of each technical vendor (for a period of at least 2 years, if possible) and to get a formal offer from each vendor and to forward the same to the Host club.

2. To co-ordinate with the host club and all other participating clubs regarding the technical arrangements at the venue.

3. To collect two sets of technical details of each club, from the respective directors (regarding set, furniture, light, props, dress & make-up etc) and to hand over the same (one set) to each vendor and to keep one set for records.

4. To hand over the `Feedback form' to each director.

5. To assess the special requirements (if any) of any particular club, which cannot be covered within the price package offered by the vendors and to intimate the host club about the same.

DUTIES OF HOST CLUB

1. To form a new WhatsApp group after the initial meeting, incorporating details of all members representing each club, including core committee members.

2. Sending notice of each meeting mentioning date, time and venue to each club including core committee members. The same shall also be intimated through WhatsApp group.

3. To conduct each meeting, making the record notes of discussions including attendance and to circulate the minutes to each clubs including core committee members prior to the next meeting. The same shall also be intimated through WhatsApp group.

4. To finalise the dates and the venue of the festival and to book the same.

5. To report about the progress, action taken, developments etc in the organising committee meeting.

6. To assist the technical committee and core-committee to finalise the rates of the vendors.

7. To co-ordinate with participating clubs to finalise the drama and respective directors of each club and also the task-force volunteers from each club.

8. To co-ordinate with hall authorities, technical vendors, paying advances etc. with the help of Core-committee and technical committee wherever required.

9. To form the task-force and to co-ordinate with them.

10. To assist the technical committee and core-committee along with the vendors and respective directors, to finalise the technical details.

11. To hand over the `Feedback form' (about the performance of technicians) to all directors and collecting the same duly filled up, after respective show and also to forward the same to technical committee.

12. To print required stationary, cards, posters etc. with approval of the organising committee / respective clubs, and after necessary corrections printing the same.

13. To distribute the cards, posters etc. to each club.

14. To organise tea, water, tiffin for technicians etc. at venue – at the time of stage rehearsal and also the show.

15. To invite all Presidents of participating clubs and Core- committee members for the inaugural programme.

16. To organise the concluding cast party (the scale of the same is entirely the prerogative of the host club) programme with discussing the details of the same with Core-committee.

17. To invite Presidents and committee members of all participating clubs and Core- committee members, with spouse, for the cast party.

18. To invite all cast members including their spouse for the cast party.

19. To organise the festival memento for each participating club (memento for participants are optional).

20. To maintain an accounts of income/expenditure of the festival.

21. To organise sponsors and media coverage (if possible) with the help from other participating clubs.
